Important Notes for Classroom Booking by UIC Staff

The priority of usage of classrooms and labs is set for teaching and learning activity officially scheduled on the class timetable of the College. There will be limited spare rooms and time slots available for other activities. Academic Registry (AR) centrally administers the booking of classrooms and labs.

  1. All activities/events to be organised in the booking venues should be approved by the Dean or Head of the academic/administrative unit. For activities/events co-organised by a UIC academic or administrative unit in conjunction with an external organisation, the relevant unit of UIC should be primarily responsible for supervising the activities/events.

  2. Due to the limited classroom/lab resource available, the processing of applications will be on a first-come-first-serve basis.

  3. Wednesday afternoons (2:00 p.m. - 6:00 p.m.) have to be kept clear from all teaching activities (except WPEX & UCHL), that is the College policy to hold activities for both students and staff.

  4. All room users are requested to observe and comply with the Regulations on Classroom/Lab Usage 1 and should approach the relevant unit(s) for classroom maintenance and services if needed.



Booking through the Online Room Booking System

For one-off classroom booking, it can be done through the online Room Booking System.

Please refer to following steps to make a new application:

  1. Click https://p.uic.edu.cn/ and log in the MIS with your personal email account and password.

  2. Click “Room Booking” and find “Classroom Booking”.

  3. Complete the fields on the online application form and submit it at least THREE working days prior to your scheduled event/activity.

  4. Check your email box for the result after your Dean of Faculty or School /Unit Head’s endorsement.

  5. If approval is granted, the classroom/lab will be available at the specified time.

(1) The System sets three working days at the window for your Dean/Director to handle your application after submission, the unprocessed applications will then be expired.

(2) Double booking is NOT allowed in the same time slot in the System. When your application is successfully submitted, the System has automatically reserved a classroom on the backstage. If you want to change your booking requests, you need to “withdrawal” (for pending applications) or “cancel” (for approved applications), and then re-apply.


·Booking through a Written Application

For continual or block booking, staff can make such requests by completing a written application form.

Please refer to following steps to make a new application:

  1. Download and complete the form: Application Form for Classroom Booking by Staff.

  2. Seek your relevant endorsement before making the application.

  3. Submit the completed and approved application form in person or email the scanned hard copy to classroombooking@uic.edu.cn at least THREE working days prior to the event/activity. AR will only accept written applications for continual or block booking. Verbal application of any kind will NOT be accepted. For any other query, please contact our colleagues of AR:

  4. AR will handle the applications within three working days and the results will be communicated via emails.

  5. If approval is granted, the classroom/lab will be available use at the specified time.
